FM4.01 Overview of Facilities Management

Assessment Overview

The following assessment tasks have been designed to enable you to demonstrate your knowledge and understanding of this unit.  All tasks must be completed.

Individual tasks must be completed within the word count shown.

Maximum word count for this unit: 6,000 words.

(NB The word count limits shown for individual tasks are provided to ensure that they receive appropriate weighting in your assessment. Please note however, that word counts are a limit and not a target).

It is an important aspect of the assessment that you are able to demonstrate the application of acquired knowledge to appropriate examples of Facilities Management. You should therefore read the individual tasks carefully in conjunction with the relevant assessment criteria in the unit specification.

Some of the tasks have been designed specifically to enable you to use the information you collected and recorded as part of the workbooks for this unit.

Instructions

There are five tasks you must answer as part of this assessment. Please answer each task as a single question. Your answer in either case must fully address the assessment criteria above.

Please submit all answers on a single word document. Where special requirements are needed, please make use of the audio or video submission files, where necessary.

Once you submit your assessment it`ll be shared with an assessor. They will provide you with either a provisional pass or fail. If you have received a provisional pass then your assessment will be sent off for further assessment, where it`ll be returned as either pass or fail. If you receive a fail at either point, then you will be allowed to resubmit your assessment an additional time.

If your second attempt comes back as a fail, then you are granted a third attempt, however, there will be an admin charge attached. Please contact your tutor for more information surrounding this.

Individual tasks must be completed within the word count shown. Maximum word count for this unit: 6,000 words

(NB The word count limits shown for individual tasks are provided to ensure that they receive appropriate weighting in your assessment. Please note however that word counts are a limit and not a target).

Once ready, please submit your assessment following the tasks below.

Task One

Word count limit: 1,500

a. Explain the scope of facilities management in your present organisation (or one you are familiar with) by reference to the various services provided. Distinguish between services that are delivered using in-house resources and those that are outsourced.

b. Compare and contrast the context of FM services in your present organisation with other sectors (for example, how do FM services in a private sector organisation compare or contrast with public or not-for-profit sectors). Compare and contrast the different service delivery resource models that are available for FM services.

c. Explain the relationship between the Facilities Management function and other business functions in the organisation identified in Tasks 1a and b.

Task Two

Word count limit: 2,000

a. Explain the difference between support services and building services by reference to examples of each in your present organisation (or one you are familiar with).

b. Describe how the organisation identified in Task 2a manages its internal building space and explain the metrics it could use to optimise space efficiency.

c. Explain the differences between managing a property that is owner-occupied and one that is occupied under a lease (or licence).

d. Describe three different types of maintenance used for maintaining buildings and building services. Provide examples from the organisation identified in Task 2a for each maintenance type described.

e. Explain the use of asset registers in managing properties and property maintenance.

Task Three

Word count limit: 1,000

a. Explain a range of management functions that are key to a facilities manager’s role in your present organisation (or one you are familiar with).

Figure 1: Facilities management functional analysis:

Figure 1

b. Identify three facilities services that are provided by (or to) the organisation identified in Task 3a. Consider the functional analysis for facilities management shown in Figure 1. Describe the different activities comprising the services you have identified according to whether they are strategic, tactical or operational areas of FM responsibility. Explain how/why the classification you have given might vary between different organisations (eg size and sector).

Task Four

Word count limit: 1,000

a. Provide examples to explain the principles of corporate social responsibility (CSR) and sustainability and how they are demonstrated by your present organisation (or one you are familiar with).

b. Describe tools and techniques that are (or could be) used to measure how effectively these principles have been applied to the Facilities Management function in the organisation you identified in Task 4a.

Task Five

Word count limit: 500

a. Use examples of FM service delivery to describe appropriate and inappropriate use of different communication methods. Your descriptions should demonstrate how their appropriate use satisfies the principles of effective communication and enhances internal and external customers’ understanding of facilities management.

Important for Students Writing FM4.01 Overview of Facilities Management Assignment

FM4.01—What your marker actually wants to see

This assignment isn’t a list of services; it’s proof that you can link FM decisions to business outcomes. Pick one real setting (e.g., a hospital ward, a secondary school, or a multi-tenant office floor). Set a clear baseline using hard data: asset register accuracy, planned vs reactive maintenance ratio, space utilisation by zone, energy per m², and H&S actions closed on time. Then show how FM choices (PPM plan, cleaning specification, security staffing, waste streams, contractor KPIs) reduce risk, save cost, and improve user experience.

How to evidence it in two pages

Map the key stakeholders (occupants, visitors, compliance, finance), define 3–5 KPIs they care about, and show a before/after calculation (e.g., “utilisation 58% → 72%”, “reactive jobs 45% → 25%”). Add one mini-case: a 12-month improvement plan with quick wins (BMS scheduling, LED retrofit in common areas, contractor SLA reset) and a simple ROI/payback line. Close with how you’ll monitor results (help-desk categories, monthly dashboard, quarterly audits) and keep compliant (risk assessments, statutory tests, logbooks).

Quick bullets to keep you sharp

  • Start with a baseline table (utilisation, cost/m², energy/m², PPM:Reactive target = 70:30).

  • Tie each action to a number (kWh saved, hours saved, % downtime avoided).

  • Include one risk + one control for each FM area (e.g., fire doors → weekly checks).

  • Use one page plan: tasks, owner, budget, target date, KPI impact.

  • Evidence with appendices: photo of defect trend, sample CAFM screenshot/table (mock is fine).

  • End with a mini business case (cost, benefit, payback months) in plain English.

Sample Answer

(a) Scope of facilities management in the organisation, with in-house vs outsourced delivery

FM purpose in our context: keep a food-retail site safe, compliant, cold-chain reliable, clean and open for trade, while controlling cost per order and downtime.

1) Hard services (asset & engineering)

  • Power & resilience (in-house + outsourced)

    • In-house: daily checks on switchgear; weekly load tests on 50 kVA diesel generator; two 10 kVA UPS units for POS, servers and chillers’ controls; energy readings logged at opening/closing (simple spreadsheet + QR code on meters).

    • Outsourced: annual generator service (OEM contractor), ATS testing, periodic thermography on DBs (specialist vendor).

    • Why split: routine rounds are simple and constant; specialist testing/oil sampling needs certified technicians and calibrated tools.

  • HVAC & refrigeration (mostly outsourced)

    • Outsourced: PPM for 3 walk-in chillers (0–4°C), 1 walk-in freezer (-18°C), 14 glass door chillers, and 6 cassette AC units; refrigerant logbooks; 24/7 breakdown cover with 4-hour response.

    • In-house: daily temperature checks at 09:00 / 15:00 / 22:00; defrost schedules; door-seal inspections; cleaning of condenser filters.

    • Why split: uptime risk is high; parts and gas handling require licensed engineers.

  • Water & plumbing (mixed)

    • In-house: pump and tank level checks; weekly flushing of low-use taps; quarterly descaling of kettle/coffee water points.

    • Outsourced: RO filter service; annual tank cleaning and potable water testing
